What happens when a policy needs to be updated?

Policies need to be updated when they are due for review, when a regulatory circular requires changes, or when your school's circumstances change. Edvance tracks this and guides you through the update process without losing the history of previous versions.

How to update a policy

  1. Upload the new or revised document against the existing policy in your register.
  2. The new document goes through the same analysis and PDRW confirmation step as any new upload.
  3. Once confirmed, the governance workflow restarts for the new version — consultation, board approval, and finalisation.

Previous versions are preserved

Edvance never overwrites or deletes a prior policy document. Every version is retained in your register for audit purposes, with its own governance record and dates. You can always see the full history of a policy — what changed, when it was approved, and by whom.

Regulatory-triggered updates

When a Department of Education circular or guidance document requires a policy review, Edvance flags the affected policies directly in your Circulars & Guidance and Compliance Intelligence views. You can navigate directly from the regulatory impact to the policy and begin the update workflow in one click.
